Context

Most gyms and studios run on 5–10 disconnected tools, bookings, CRM, payments, coaching apps, WhatsApp groups, surveys, email. Data is scattered, staff training is duplicated and software spend compounds. InCourage was built to collapse that stack.

Challenge

Design a single operating system covering bookings, payments, CRM, coaching, communication and analytics that an owner-operator can adopt without disrupting members, and prove it on a live site before scaling.

Approach

  1. 01Mapped the typical fitness operator's tool stack and the seams between them, bookings vs. payments, coach scheduling vs. member comms, surveys vs. CRM, to define the unified data model.
  2. 02Designed one platform across booking, payments, CRM, coaching, communication and analytics with a single source of truth for member, class and revenue data.
  3. 03Onboarded Elite Gym as the first live deployment, retiring 7 separate subscriptions, retraining staff on one system, and unifying member access into a single app.
  4. 04Wrapped the platform with automation playbooks for retention, churn signals, and class utilisation so owners spend time on members, not on admin.
